Group Health Insurance Renewal Checklist

A renewal is a decision about protection, employee experience and service—not only premium. Use this checklist to organise the information an HR or finance team should review before accepting, changing or comparing a group medical policy.

Check the final insurer policy wording, endorsements and renewal quotation before making a decision. This checklist is a planning aid, not a coverage guarantee.

1. Review what happened during the current policy year

Gather factual information from HR, employees and the insurer or TPA before discussing a renewal.

  • Claims experience, unresolved issues and employee feedback.
  • Member additions, exits, dependants and location changes.
  • Policy utilisation, service gaps and recurring employee questions.

2. Reconfirm the cover design

Compare the current design with the workforce you will cover next year. Avoid treating one benefit as a substitute for another.

  • Sum insured, family definition, co-pay, room-rent and sub-limit terms.
  • Pre-existing disease, maternity, OPD, wellness and top-up requirements.
  • Whether GPA, GTL or workmen compensation should be reviewed alongside GMC.

3. Prepare implementation before the expiry date

A good renewal has owners, dates and employee communication—not just a signed quotation.

  • Confirm the expiry date, decision owner and implementation timeline.
  • Validate employee data and dependent records before submission.
  • Plan employee communication, e-card access and escalation contacts.

Frequently asked questions

Frequently asked questions

When should an employer start a group health insurance renewal?

Start early enough to review policy experience, validate employee data and compare an approved renewal proposal before the expiry date. The exact lead time depends on the group, insurer and policy complexity.

Should renewal be based only on the premium?

No. Review coverage terms, exclusions, service experience, claims support, employee needs and implementation readiness alongside the renewal price.

What data is useful for a group-policy renewal?

Employee and dependant census data, current policy wording, claims feedback, renewal date, changes in workforce and the benefits your organisation wants to retain or improve.
